Microsoft 365 Copilot for Small Business: Worth It?

Since 1 July 2026, Microsoft 365 Business Standard and Business Premium have been sold in a version with Copilot built in. The licence question therefore arrives on its own at the next renewal date.

According to Statistik Austria, around 30 percent of Austrian firms with ten or more employees used artificial intelligence technologies in 2025, after 20 percent the year before and 11 percent in 2023. What stays open is which licence pays off for whom.

Is Microsoft 365 Copilot worth it for a small business?

For the people whose working day runs mostly in Outlook, Word, Excel and Teams, and only once the sharing permissions in the house are in order. For everyone else the licence is a recurring cost with nothing behind it.

Microsoft 365 Copilot is a language model that works inside the Microsoft 365 applications and draws on the data the signed in user is already allowed to see. Microsoft puts it this way: Copilot retrieves data through Microsoft Graph and respects existing permissions, sharing settings and policies.

Both consequences follow from that. Copilot digs the figures out of an old quote, because the documents sit in the same tenant. And it hands a temporary assistant a payroll sheet, if that sheet sits in a library someone opened to the whole company years ago.

What does Microsoft 365 Copilot cost per user?

The Austrian pricing page from Microsoft names three routes. Every amount applies per user per month on an annual subscription and excludes VAT.

• Business Standard with Copilot Business: 20.36 euro, according to the Microsoft pricing page for Austria.
• Business Premium with Copilot Business: 27.73 euro, from the same source.
• Copilot Business as an add on to an existing plan: 15.60 euro as a promotional price from 1 July to 31 December 2026, 18.20 euro as the list price, again according to Microsoft.

For ten seats on Business Standard with Copilot that comes to roughly 2,443 euro a year. Above 300 seats the Business family is the wrong one anyway: Microsoft caps it at 300 seats per tenant in its service description.

The larger item appears on no price list: the time for sorting out sharing permissions, for the introduction and for support during the first weeks. As a guide, tidying the document libraries takes two to five days, depending on how many there are and how long nobody has looked inside.

What can Copilot do without a paid licence?

Copilot Chat is available to eligible Microsoft 365 users at no extra licence cost, according to Microsoft. It works with content from the web, which makes it a tool for text, not an entry point into your own files.

That gives the most usable yardstick before a purchase. Where Copilot Chat is already in use and people keep pasting files into the window by hand, the need for the paid licence is proven. Where the window is barely opened, a monthly bill per user changes nothing.

What has to be in order before the first licence

The sharing permissions in SharePoint and OneDrive. In its guidance on getting ready for Copilot, Microsoft states that SharePoint sets sharing to the most permissive option by default and advises adjusting it beforehand.

1. 1.Take stock of the document libraries. Microsoft offers a guided assessment in the SharePoint admin centre that lists potentially overshared content and sites without an owner.
2. 2.Tighten the sharing settings for SharePoint and OneDrive, including expiry dates for sharing links.
3. 3.Read the data access governance reports. One of them lists, according to Microsoft, the sites where content was shared with the entire organisation in the past 28 days.
4. 4.For sites that must stay reachable but have no business appearing in answers, switch off content discovery.
5. 5.Only then assign the first licences.

That order separates a rollout nobody talks about from an incident in week two. A tool that answers every question makes old sloppiness in the permissions visible to your own staff.

How do you test Copilot in four weeks?

With a small group, fixed tasks and a measurement taken beforehand. Five to eight people from different roles are enough, and the licences can be booked for exactly that group.

Before the start, write down which three tasks Copilot is meant to take over: summarising meetings, drafting a quote email, finding figures in older documents. Note how long each takes today. The annual effort behind that comes out of our process cost calculator.

During the test the group reports once a week in fifteen minutes. What worked, and what took more time than before. The second question matters more, because it surfaces the cases where the output had to be checked.

A written rule about what may go into the prompt window belongs with it. Article 4 of the AI Act has required since 2 February 2025 that deployers ensure a sufficient level of AI literacy among the people operating an AI system on their behalf. How that applies in a specific case is a legal question.

How to decide once the test is over

On what the group does, not on how enthusiastic it sounds. Ask on the last day who would hand the licence back. Anyone who hesitates has built it into their routine. That is evidence a satisfaction survey never produces.

Do not budget for a leap. A Danish study by Anders Humlum and Emilie Vestergaard, published at the Becker Friedman Institute of the University of Chicago, links adoption surveys on AI chatbots with administrative labour market records. Two years after the launch of ChatGPT the study finds no effect on earnings or recorded hours and rules out effects above 2 percent.

The same study describes what does move: work gets reorganised, and new tasks appear around content generation, oversight of the output and wiring the tools into the business. A licence on its own changes no workflow, it makes single steps faster. So a test ends with a decision on which two workflows you rebuild around the tool.
