Digital transformation consulting helps a company reorganise how its work runs, using digital tools. Optima Solutions is an Austrian management consultancy and works hands on: we map existing processes, record where work is duplicated, select suitable tools with you and support the rollout inside the business. Artificial intelligence is one of those tools, not the goal.

It does not start with choosing software. It starts with a survey: who does what, with which system, and where someone waits for someone else. That survey takes a few days and almost always surfaces steps that grew historically and that nobody can justify any more.
Only then can you say which change is an improvement and which one simply makes existing disorder run faster.

Why the tool question comes second
A tool encodes a process. If the process is not settled, the tool encodes the confusion, and the rollout turns into an argument about responsibilities. So we first agree how the process should run, then look for a tool that fits it.
In many cases that is not a new system at all, but a feature your existing software already has and nobody configured.

Where AI helps and where it does not
AI pays off where language or documents are processed and the task recurs. For anything governed by fixed rules, an interface or an automation without AI is more reliable, cheaper and easier to verify.
We will also tell you when AI is the wrong answer for your task. That is the difference between a consultancy and a vendor selling one tool.
- Legal frame: obligations under the AI Act and GDPR belong before deployment, not after.
- Data location: where the data sits, who has access, what the contract says.
- Verifiability: a result nobody can check is not usable in daily operations.

The part that gets overlooked most often
An installed tool is not yet a changed process. Whether the change holds is decided in the weeks afterwards: whether staff know what changes for them, whether somebody is available to ask, and whether the old route is genuinely closed.
That is why support after go live is part of the project for us, not an add on.

Optima Solutions is a management consultancy based in Vienna, working across Austria. Management consulting is a regulated trade in Austria; we work within that frame and say where a question needs legal or tax advice instead.
We come from a family run mid sized business ourselves and work hands on: not only concept and presentation, but survey, selection, rollout and the weeks after.

How we define the scope and price
The initial 15-minute discussion is free. Diagnostic & Roadmap at €3,900 excluding VAT is a good entry point: process survey, findings and a sequence of steps. Implementation is then quoted by scope. Software and ongoing usage costs are considered separately.

Questions about this service
How does this differ from AI consulting?
Digital transformation consulting looks at the whole process and picks the means afterwards. AI consulting is a subset of that and deals with one particular tool. We start with the process, because otherwise you risk buying a tool before the question it should answer has been settled.
How long does a digitalisation project take in a mid sized company?
That depends on scope and cannot be stated flatly. As a guide, mapping the processes takes a few days, selecting a tool a few weeks, and support after the rollout several weeks to months. We deliberately cut projects so that each stage ends with a result you can use.
Do we need our own IT department for this?
No. Most of our clients do not have one. We work with the people who run the process every day, and involve your existing IT provider where setup, interfaces and operations are concerned.
